Types of data processed and purpose of processing
We process inventory and contact data (e.g., names, addresses, email addresses, telephone numbers) if you provide it to us in order to contact you or process a hotel booking. Personal data relating to hotel bookings or room reservations is used by both the hotel operator and our central reservation office (Felix Hotels GmbH).
The purpose of data processing is to respond to contact requests, communicate with users of the online service, and process reservations. The legal basis for this processing is Article 6(1)(b) GDPR.
Furthermore, we process usage and communication data (e.g., websites visited, access times, device information, IP addresses) to optimize our online services and improve the marketing of Felix Hotels. The legal basis for this processing is Article 6(1)(f) GDPR.
Data transmission and logging
When you visit this website, the web server automatically stores log files that cannot be associated with any specific person. This data includes browser type and version, operating system used, referrer URL (the previously visited page), IP address of the requesting computer, date and time of the server request, and the client's file request (filename and URL).
This data is collected solely for statistical analysis purposes. It will only be shared with third parties for commercial or non-commercial purposes if legally permissible (e.g., if disclosure to third parties, such as payment service providers, is necessary for the performance of a contract pursuant to Art. 6 para. 1 lit. b GDPR) or if there is a legal obligation to do so.
Right of objection and right of withdrawal
- Right to object (Art. 21 GDPR): You can object to the future processing of your data at any time.
- Right of withdrawal (Art. 7 para. 3 GDPR): You have the right to withdraw your previously given consent to the processing of your personal data with effect for the future.
Rights of the data subject: access, rectification and erasure
In accordance with applicable law, you may at any time request in writing whether and what personal data we have stored about you. You will receive a prompt reply. We will delete your data upon request.
The processed data will be deleted or its processing restricted in accordance with Articles 17 and 18 GDPR as soon as it is no longer needed for its intended purpose and provided that no legal retention obligations prevent its deletion.
Data security
We implement technical and organizational security measures to ensure that your personal data is inaccessible to unauthorized third parties. For sending particularly sensitive information, we recommend using postal mail, as complete data security cannot be guaranteed via email.
Note regarding Google Analytics
This website uses Google Analytics, a web analytics service provided by Google Inc. ("Google"). Google Analytics uses cookies – text files placed on your computer – to help the website analyze how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States.

Hosting Services
We use hosting services from 1&1 for infrastructure, platform services, computing capacity, storage space, database services, security, and technical maintenance. For these purposes, we or the hosting provider may process personal data (e.g., inventory data, metadata, or communication data). The use of these services is based on our legitimate interest in the professional and secure provision of our online services.

We regularly update this policy to protect your personal data, improve clarity, and comply with current legislation. Please review this policy periodically to stay informed about our data protection practices. We will clearly notify you on the website of any significant changes regarding the collection, use, or disclosure of personal data. By using the website, you agree to the terms of this policy.
Alveni KI-Telefonassistent (Call forwarding)
What data is processed?
The hotel's telephone system uses the telephone assistant from Alveni AG, R2 Tower, Richtistrasse 2, 8304 Wallisellen, Switzerland (https://alveni.ai/). Under certain conditions, this service allows incoming calls to be forwarded to an AI-powered telephone answering solution.
When the telephone assistant is active, we only process the data that you voluntarily provide during the call or that is technically necessary for handling the call, such as:
- Information provided voluntarily: (e.g., name, type of request, email address, callback requests).
- Your telephone number: (if it is transmitted).
- Conversation transcripts: Written records of the spoken dialogue.
- Metadata: Date and time of the call as well as technical connection data.
This information is processed in encrypted form and used solely to forward your request to the responsible hotel team, to facilitate callbacks, or to answer your questions. It will not be used for any other purpose – such as advertising, profiling, or training AI models.
Technically necessary data processing
The following information is processed for the technical operation of the telephone assistant:
- Technical connection data (e.g. telephone number, duration, date/time) for call allocation and connection stability.
- Real-time audio processing: Temporary processing of audio data to generate text transcripts.
- Encryption and pseudonymization: Transcripts are pseudonymized during processing, encrypted, and deleted according to the schedules listed below.
- Security logs: Error logs to detect abuse (e.g., spam) and to ensure system functionality.
- Secure transmission: All data transmissions are encrypted via TLS/SRTP to ensure communication security.
Processing and storage
All processing takes place on servers within the EU; the AI models used are operated locally. Personal data is only transferred to third countries on the basis of EU standard contractual clauses or other suitable safeguards in accordance with Article 46 GDPR.
- Deletion: Transcripts and metadata stored by Alveni AI are automatically deleted after 30 days by default. Earlier deletion is possible upon request.
- Hotel records: The email summary received from the hotel is subject to the hotel's specific retention periods.
- No voice profiling: No voice recognition takes place, no voice profiles are created, and no audio signatures are used for identification purposes.
- No AI training: No AI model training is carried out using personal data, and the processed data is not used for profiling.
Alveni AG uses technical subcontractors (e.g., for hosting or telephony infrastructure). These partners are contractually bound in accordance with Article 28 of the GDPR and only receive the data absolutely necessary for the technical provision of services.
Tracking and cookies
- No cookies or tracking tools are used for the telephone function.
- There is no fully automated decision-making with legal consequences.
- Callers are clearly informed at the beginning of the call that they are speaking with an AI assistant. They can request to be transferred to a human representative at any time.
Legal basis
Data processing is carried out on the basis of Article 6(1)(f) GDPR (legitimate interest), in particular to ensure reliable telephone accessibility and the efficient processing of inquiries. If processing is necessary for the initiation or fulfillment of a contract (e.g., room reservations), it is additionally carried out on the basis of Article 6(1)(b) GDPR.
Voluntariness and right to object
Providing personal data during the call is entirely voluntary. You decide what information you disclose. You have the right to object to the processing of your personal data at any time with effect for the future. Please send your request or objection to: privacy@alveni.ai.
